Vinyl to Space
A full warehouse automation system for vinyl record inventory β from physical barcode scan to live listing across multiple sales channels.
50,000 records. No system.
A large vinyl record inventory had no structured catalog. Records arrived in bulk β untagged, unphotographed, unpriced, and unknown. Each item needed to be identified, described, priced competitively, photographed, and listed across multiple platforms before it could generate revenue.
The manual process β looking up each record individually, researching prices, writing descriptions, uploading photos β was unsustainable at scale. At 5 minutes per record, a 50,000-item catalog would take over 4,000 hours to process manually.
Scan once. Publish everywhere.
A barcode-driven automation pipeline that takes a single scan and produces a complete, publish-ready product record β automatically.
Pipeline detail
Barcode ingestion via CodeReadr
Physical barcodes scanned with a mobile app (CodeReadr), triggering an automation webhook. Catalog and matrix numbers also supported for records without standard barcodes.
Metadata enrichment via Discogs API
Barcode matched to Discogs database. Title, artist, label, year, genre, tracklist, and pressing information retrieved automatically.
Pricing intelligence
Price Finder API queries Discogs marketplace, eBay sold listings, and Amazon for comparable copies. Condition-adjusted pricing applied based on grading rules.
Image capture and processing
Photos taken at ingestion point, uploaded to Cloudinary. Background removed, auto-cropped, and optimized for platform requirements automatically.
AI description generation
GPT generates platform-optimized product descriptions, SEO titles, and condition notes based on structured metadata and grading input.
Multi-channel publishing
Complete product record published to Shopify, eBay, and Amazon simultaneously. Inventory quantities synced across platforms in real time.
Tools Used
Make.com, Airtable, CodeReadr, Discogs API, Cloudinary, OpenAI, Shopify API, eBay API, Amazon SP-API
Outcome
Processing time reduced from ~5 min/record to under 45 seconds. Consistent listing quality across all channels. Scalable to any inventory size.
Scalability
System handles bulk ingestion events of 500+ records per session. Built for reuse across other physical product categories beyond vinyl.
